Mount Juliet Estate, a Marriott Autograph Collection Property, have a fantastic vacancy for a Seasonal Golf Operations Assistant to join the award winning Golf team.



The Seasonal Golf Operations Assistant plays a vital role in ensuring smooth day-to-day operations within the Golf Department. This role requires exceptional customer service skills, an in-depth knowledge of the golf course and its offerings, and the ability to handle bookings, guest inquiries, and event coordination efficiently. The ideal candidate will have strong organizational abilities and a proactive approach to enhancing the golfer experience.



Main Duties & Responsibilities:


Guest Services & Communication:
  • Maintain full and up-to-date knowledge of the Golf Course and its services.
  • Provide a warm and professional welcome to all guests, ensuring an exceptional first impression.
  • Handle all telephone inquiries promptly and professionally, ensuring client needs are met effectively.
  • Assist guests with bookings, special requests, and general information regarding their visit.
  • Foster customer loyalty by building friendly, personalized relationships with members and guests.
  • Anticipate guest needs and provide solutions proactively to enhance their golfing experience.
  • Handle complaints efficiently and with care, escalating issues when necessary.
Reservations & Sales:
  • Manage and process bookings for society and corporate groups via BRS and Opera, ensuring accurate scheduling of tee times and F&B requirements.
  • Maximize revenue by actively upselling additional services and amenities.
  • Handle no-shows and cancellations efficiently according to company guidelines.
  • Process reservations across various channels, including email, phone, fax, and website.
  • Proactively seek and act upon guest feedback to improve service standards.
  • Conduct proactive sales calls to promote golf events and drive future business opportunities.
Event Coordination & Administration:
  • Act as the primary point of contact for golf groups, ensuring all details are effectively communicated.
  • Coordinate all aspects of group bookings, including preparing contracts, deposit schedules, and function sheets.
  • Assist in setting up Golf Open Days and special events in collaboration with the Director of Golf.
  • Work closely with the Events Team to ensure seamless coordination for overnight stays and large corporate bookings.
  • Provide weekly reports to the Events Manager regarding inquiries, conversions, and lost bookings.
  • Participate in internal hotel meetings to keep the Golf Department aligned with overall operations.
Operational Duties:
  • Ensure administrative procedures do not take precedence over guest relations.
  • Maintain security of all property and stock when closing the area.
  • Ensure the cleanliness and hygiene of the department, including fixtures, fittings, and equipment.
  • Forecast golf groups for the upcoming two weeks and communicate this to relevant teams.
  • Provide coverage for golf shop duties and shifts as required during holidays or staff absences.
  • Relay information between departments to ensure smooth event execution.
General Responsibilities:
  • Adhere to company policies and procedures as outlined in the Employee Handbook.
  • Maintain a high standard of personal appearance, always wearing the full and correct uniform.
  • Participate in training sessions and staff development programs.
  • Attend staff meetings and contribute to discussions aimed at improving service delivery.
  • Be flexible and willing to take on additional responsibilities as requested by management.
Health & Safety Responsibilities:
  • Comply with all safety regulations and policies in accordance with the Safety, Health, and Welfare at Work Act.
  • Maintain a tidy and hazard-free work environment, reporting any safety concerns promptly.
  • Ensure the responsible handling of all equipment to prevent damage or breakages.
  • Participate in fire, safety, and emergency drills as required.
  • Report all incidents, accidents, or hazards to management immediately.
  • Be aware of first-aid personnel on-site and the location of emergency equipment.
