Job Summary:

The Golf Academy Administrator provides administrative support and services to the NIST Falcons Golf Academy while also overseeing the creative content used to promote and uphold the Golf Academy brand. This individual is responsible for supporting golf programme operations, including golf activities and offerings, student and coach scheduling, transportation, liaising with other International Schools and external golf partners, communications with students, parents, and faculty, social media and marketing, event coordination, and any catering or logistical requests.

Responsibilities:

  • Follow the direction of the Head of Golf and Director of Sports & Activities.

  • Support the day-to-day administration and operations of the NIST Falcons Golf Academy.

  • Maintain Golf Academy websites, databases, digital platforms, social media, and promotional content.

  • Coordinate Golf Academy communications with students, parents, faculty, coaches, International Schools, and external golf partners.

  • Support programme registration, scheduling, attendance, transportation, facilities, and event logistics.

  • Manage Golf Academy budgets, purchasing, invoicing, equipment, uniforms, and supplies.

  • Coordinate photography, video, branding, signage, and marketing content for the Golf Academy.

  • Assist with travel arrangements, accommodation, competition logistics, documentation, and associated forms.

  • Coordinate the booking and use of NIST and external golf facilities.

  • Support the planning and delivery of Golf Academy tournaments, camps, clinics, events, and other activities.

  • Maintain accurate records, documents, databases, and administrative systems using platforms such as Veracross, Google Workspace, Excel, Adobe, and other relevant software.

  • Provide administrative and logistical support to the Head of Golf and Sports & Activities Department as required.

  • Support the development and implementation of Golf Academy branding, signage, and promotional materials.

  • Assist students and parents with Golf Academy questions, requests, and inquiries.

  • Support the smooth movement and organization of students participating in Golf Academy activities.

  • Work positively and collaboratively with colleagues and consistently uphold the values of NIST.

  • Be familiar with and adhere to NIST safeguarding policies and report any concerns to the Line Manager.

  • Abide by the NIST Professional Code of Conduct at all times.

  • Attend meetings and contribute positively to the development of the Golf Academy and Sports & Activities Department.

  • Respond to emails and communications in a timely manner, generally within 24 hours.

  • Attend and support Golf Academy events, tournaments, activities, and other Sports & Activities events as required.

  • Participate in assigned professional development and maintain current knowledge of relevant systems, procedures, and practices.

  • Undertake other duties and responsibilities as reasonably requested by the Director of Sports & Activities.
Qualifications:

  • Bachelor’s degree in a relevant field.

  • Experience in administration, sports, education, or a related field.

  • Experience supporting sports programmes, events, or activities is desirable.

  • Knowledge and experience of effective safeguarding practices and procedures is desirable. Strong written and spoken English communication skills.

  • Computer literate and proficient in Microsoft Office, Google Workspace, Veracross, and web-based programmes.

  • Excellent communication and interpersonal skills, with the ability to work effectively with students, parents, coaches, colleagues, and external partners.

  • Highly organized, detail-oriented, and able to manage multiple priorities, timelines, and events.

  • Service-oriented, adaptable, and able to work effectively under pressure.

  • Self-motivated and able to work independently while contributing positively as part of a team.

  • Willingness to work additional hours when required for tournaments, events, camps, and programme preparation.

  • Mature, professional, flexible, and student-focused.

  • An interest in golf, sport, and the role of Sports & Activities within an educational environment.

  • A commitment to the values of NIST and enthusiasm for the role of sport in supporting student development and the NIST mission.
Working Hours:

  • Working hours are 9:00 AM - 6:00 PM, Monday – Friday

  • Plus, any additional events, tournaments, or other activity that requires attendance on weekdays and weekend
