The Golf Group Sales and Marketing Manager sells, plans, executes and finalizes all outing events for the Club. This position works closely with the Head Golf Professional, Golf Professional Staff, and Club Administration to manage all events and ensure client expectations are exceeded. This position reports to the General Manager.
QUALIFICATIONS
  • High school diploma or equivalent education, college degree preferred
  • Thorough knowledge of general business, financial and sales procedures as would be acquired through at least four years of similar experience
  • Must have previous customer service experience, high-end establishment experience preferred

RESPONSIBILITIES/DUTIES

Group Sales Functions:
  • Solicit key contacts in the local community. Establish and maintain a high visibility and good rapport with area hotels and providers to sell outing event packages. Create and maintains appropriate client and member files and contacts
  • Develop annual sales budget and analyze actual results to projections. Plan monthly outing events in conjunction with other club events
  • Market the club against the local competition. Conduct local area surveys and evaluate information to ensure club position in the local market. Adjust group sales offerings as needed
  • Devise group outing packages and determine event pricing. Negotiate sales of additional services and merchandise with group contact
  • Advise group contact on selection of merchandise and food and beverage for group sales. Identify group requirements and establish appropriate event format to fit needs of the group
  • Create and send a Letter of Agreement outlining specific group requirements, associated fees and precise financial arrangements for the group contact. Explain in detail the specifics of the Letter of Agreement to the contracting group. Secure financial deposits & communicate club policies to the client
  • Record all group specifics on the reservation sheet. Create file to identify all of the groups needs and maintain up to date records and correspondence in those files. Coordinate with the Golf Professional Staff to update the group events calendar and distribute updates in the weekly department head meeting
  • Make monthly and weekly follow-up calls to group contacts for group particulars. Collect all group addresses and e-mail addresses for future correspondence and e-survey contact.
  • Manage synchronization and communication of various club departments (Food & Beverage, Outside Services, Golf Shop and Golf Course Maintenance) to ensure that each department is aware of special event and services sold. Confirm all final guarantees and communicates any changes
  • Works closely with Head Golf Professional to develop client event set-up and create:
  • Pairings
  • Handicapping
  • Rules sheets
  • Welcome announcements
  • Scoring and prize/gift certificate coordinator
  • Caddie program integration
  • Meet and greet client with Golf Professional Staff representative, making sure setup meets their expectations, and introduce key staff at the beginning of the outing event. Answer questions and provide assistance and information to guests. Promptly follow up on all requests
  • Manage outing event facilitation with Head Golf Professional and Golf Professional Staff ensuring proper execution and satisfaction of guests. Investigate complaints and rectify issues
  • Invoice groups in accordance with the Letter of Agreement and promptly reconcile those accounts. Write thank you note to the client
  • Develop an evaluation tool to assess each group outing event. After each event, have each department provide feedback on how we can improve our processes and future events
  • Represent the Club as the Group Play Liaison with local hotels and maintain positive relationships
  • Special projects or other duties as assigned
Marketing Functions:
  • Coordinate marketing efforts and associated advertising of the club in conjunction with the General Manager
  • Coordinate with HQ Support, PGA TOUR Creative Services Department, other operating departments and other external vendors on the development, design, and coordination of club communications such as e-mail communications, e-newsletters, and program campaigns, etc.
  • Create club prospect E-Blast databases for membership, golf outings, special events, and business entertainment

Specific vision abilities required by this job include close vision, depth perception, color vision, distance and peripheral vision, and ability to adjust focus.
