Salary : $18-$20 per hour

JOB DESCRIPTION Administration Summer Student

Position Objective

To be responsible for assisting Accounts Receivable, Accounts Payable, Communications and Marketing at a Premier Calgary Golf Club. To assist the Administration Team with certain aspects of the administrative tasks as it relates to member accounts and interactions along with Club record keeping. This is a full-time position and would require weekend availability.

Structure

Reports to : Accounting Manager

Works with : Works directly with Administration Team and the C.O.O.

Duties and Responsibilities

Administration - Membership

Be a friendly, welcoming, point of contact in the Administration office for Members, guests, and vendors

Answer Members questions about their accounts and take their payments as required

Assist with filing of Membership documentation

Assist with answering the general administration phone and email address, ensuring all messages are returned within 24 hours while on duty

Assist with a membership file audit for marketing

Assist with Membership Category Audits

Assist membership & marketing team prepare for committee meetings

Additional membership / administrative projects, as required

Assist the Events Manger with registration and billing for Club events

Assist the Chillies with staff events and appreciation objectives

Attend event meetings and assist in building event orders

Accounting (AR / AP)

Assist in triaging invoices in AP to correct department contacts using the Beanworks AP Automation Digital Platform

Assist to clear AP statements and ensure AP accounts are current

Preparing signed cheques for mail and filing supporting documentation for AR

Assist with completing daily cash reconciliations and monthly club cash audits

Assist in correcting billing errors from retail POS

Assist with some coding of invoices

Communication Internal

Assist with proof reading club communication going out to membership

Assist the Chillies with staff events and appreciation objectives

Skills

This position will require the use of a company supplied laptop and other office technology such as a printer, scanner, fax, soft phone

Software Programs associated with this position includes : Northstar Club Operating System, Beanworks AP Automation, Microsoft Office Suite focusing on Outlook and Excel.
